Why is Technical Writing so Difficult?

Technical writers are a rare breed. To be successful in this profession, you have to be patient, know how to communicate, and, last but not least, understand technical concepts. These tough demands have been the inspiration for this article, the third and final, in what we like to call our technical writing “rant topics.” See the first two in the triptych, “What’s Wrong with the Passive Voice” and “Why is Consistency Important.”

What Is Gamification?

You may have heard the term “gamification” floating around and wondered, “What is that?” The answer: Gamification is the new buzz word representing the idea of incorporating gaming concepts and techniques into non-game activities in order to drive a desired behavior. Marketing campaigns can use game mechanics to drive customers to their websites, sales agents can participate in games to drive competition and increase sales, and in our industry, documentation and training groups can build game-like training materials to fully engage the learner.

MS Paint can be very useful

I used to take Microsoft Paint for granted. I saw it every once in a while in the Accessories folder when I was looking for the Calculator or Notepad but never really used it. Then I starting using screen capture programs at work to take screenshots for user guides, manuals, online helps, etc. When I was on my personal computer, I had no idea how to take a screenshot without a fancy program, and then I finally remembered Paint. Since then, I’ve used it for screenshots, creating and editing pictures/photos, and testing.

Why Bother Writing Requirements?

We’ve recently been approached by two different companies about writing requirements. The first, a small company, wanted to develop a dashboard to replace a third-party application it was using. The owner, who had most of the information in his head regarding what the new dashboard should look like, what it should do, etc., suggested we send one of our writers to his location to study the existing dashboard, spend a little time with him and some of his key people to learn more about the functionality the dashboard needed to support, and “capture” this information so he could give the requirements to a developer or offshore the project.

How Documentation Can Create Trust

When you are a company dealing with your customers’ most valuable personal information, you need them to trust you. One easy way to do this is to have your documentation flawless (or close to it). Also, performing a test run with a small group of people before releasing it to the masses is a good idea. The group of people should be 3rd party users who can find the mistakes you can’t find (since you’ve read and reread the form 40 times and never want to see it again).

Interactivity Brings New Life to Traditional e-Learning

The Work Management Process is an initiative of one of our clients to standardize the process of work identification, planning, and completion at power plants the Company owns and operates. This process aims to transition work activities at power plants from a reactive to a planned mode, thereby improving asset reliability and lowering costs.

The purpose of this training is to present an overview of the Work Management Process either as a refresher for existing employees or as an introduction for new employees.

The training is broken down into six lessons, each of which correspond to a particular step within the Work Management “Wheel.”  Unlike a training course delivered via a learning management system, this training is completely open-ended so learners are free to explore and learn at their own pace.

Although this training is open-ended, some managers wanted their employees’ progress  to be tracked to test their mastery of the content.  Learners can directly link to a short quiz stored within an online learning management system from the Work Management Process Training site.

Goals and Objectives

The original Work Management Process Training existed as a 180-page document that learners had to read.  Once our Technical Communications project team got our hands on that, we all recognized that we had an opportunity to create a unique eLearning experience from this training.

The primary goal of the training site is to create an interactive, online resource that employees can visit to learn about the Work Management Process.  Using a simple design, contextual links and actions, drill-down exploration of content, and leveraging interactive learning experiences, our training site easily stands out as a technology-based learning site unlike any other training initiatives we have created in the past.
